Terms & Conditions

Please find below our terms and conditions for Wild Soul Retreat. Please read them carefully and do not hesitate to contact us if you have any questions.

Payment options

September 2024 Retreat

50% deposit at the time of booking.

Remaining balance to be paid in full no later than 20th August 2024

General Cancellation / Refund Policy

In the event of cancellation after deposit/full amount has been paid we will require full confirmation in writing and the following refund policy will apply:

Any promotional inclusions (such as products offered) will be deducted from any refund if applicable.

Once your booking is confirmed, you have a full 24hrs to cancel and obtain a full refund. (We must be notified via email during this time.) 

It is the guests’ responsibility to check your booking details within your initial confirmation message (i.e dates, room type and number of guests.) If there is an error, please reply to the team (info@wildsoulretreat.co.uk) as soon as possible within your 24 hour cooling off period.

After this period the following conditions will apply:

  • A full refund minus 5% admin charge will be provided for all cancellations up to 65 days prior to start day of the booked retreat. 
  • A 50% refund will be provided on cancellations between 30-45 days prior to the start date of the booked retreat.
  • A 30% refund will be provided on cancellations between 24-29 days prior to the start date of the booked retreat.
  • No refund will be provided on cancellations between 21-0 days prior to the start date of the booked retreat.

No refund/credit will be provided for premature leaving of the retreat or failure to arrive at the retreat for any reason.

Should you not arrive at the retreat before 09:00 on Tuesday 10th September 2024 and should you fail to notify us in writing that you will be arriving late, we will assume you are not attending and we therefore have the right to release your room to another guest. This is unless we have received written confirmation explaining when you will arrive and in this situation the room will continue to be reserved for you until your arrival.

No refund will be provided for only part of a booking, for example if a room is booked for two guests who are sharing and one guest is unable to attend, the booking would need to be cancelled as a whole for the above refund policy to apply.  For guests sharing with friends and paying separately, if one of the guests in the twin room cancels either 1) the remaining guest will be required to upgrade to single occupancy for the room

 2) the remaining guest will need to find a replacement guest to twin share with 3) the name on the booking to be cancelled could be changed at no additional cost.

If paying via instalments, the above conditions will apply based on the entire price of your booking and not just on any instalments paid.

Full balances will be due 2 weeks ahead of the stay.

All final retreat payments are due 14-days prior to the start date of the booked retreat, unless otherwise specified (pay in three).  Please note that any late payments may incur additional fees. Clients whose balances are not received by the 14-day deadline, risk forfeiting their retreat booking. We will try and contact you via email and telephone, but if we have not received any written communication from you and the balance payment has still not been received by this stage, your booking will be cancelled and any deposits paid will not be refunded.

Use of credit or debit cards will not incur a surcharge if payments are cleared in full at the time of booking.

Adding a guest to your booking

If you wish to add a guest to your booking, please note that we have a maximum capacity of guests that we can accommodate on site. If we have not reached capacity we would be happy to add a guest to your booking, however once we have reached the maximum number of guests unfortunately we would not be able to add any further guests at that time. We always recommend to confirm any changes as soon as possible, to avoid disappointment. At the point of booking, we can highlight your details if you are looking to add a guest, in order to let you know when we are approaching our maximum capacity if you wish. Please note that places are only secured on receipt of payment.

Our right to refuse or cancel your booking or request that you leave the retreat

We reserve the right to refuse or cancel your booking (and/or any accompanying guests), or request that you (and/or any accompanying guests) leave the retreat, if we deem your actions or behaviour unacceptable or offensive to others. This includes, but is not limited to; being intoxicated, under the influence of drugs, abusive, threatening, racist or inciting acts of violence either verbally, written or in person.  We will not tolerate bullying, racism or verbal or physical abuse to other guests or our team.  If we receive multiple written or verbal complaints from other guests or our team about your language or behaviour, our retreat team have the right to warn you that any further incidents will result in us requesting you to leave the retreat. No refund will be issued for the remaining retreat stay. Our team will assist you in arranging a transfer.

If the Retreat has to close for any reason

In the unlikely event the retreat has to close for whatever reason we will inform you as soon as possible and we will hold all funds paid as a credit to be redeemed against a future retreat booking with us within 12 months of the retreat closure. 

Check in and Check out:

Check in to the Lifehouse Spa Hotel will be from 9:00am, and check out 15:00pm, this is to allow the cleaning staff enough time for the extra cleaning procedures and allow sufficient time between guests checking out and house-keeping team entering the rooms.

This contract is entered into under the laws of the United Kingdom and in agreeing to these terms and condition you are doing so on behalf of yourself and any other parties included in your booking.

Your Health and Wellbeing

Many health benefits are associated with regular exercise, juice cleansing and therapy treatments. However a small number of people should not participate in certain activities and should seek medical advice. In case of any doubt please consult a doctor before commencing physical activity/starting a juice cleanse/or receiving a treatment. Completion and declaration of Medical form will omit any liability of Wild Soul retreat for ill health whilst on the retreat. Medical forms must be completed in full prior to Retreat start date.

Robes/damages

In all of our rooms at Lifehouse Spa you will find 2 x robes (x1 single occupancy) if these are no longer in your room after you depart from the hotel the hotel will automatically charge your registered card for the retail price of the robe/s.

If you damage your room or any of the property within your room the hotel will automatically deduct the cost of repairing / replacing / redecorating from your registered card.

Comments and complaints

If you feel unwell or are not happy with the Retreat for any reason, please tell your one of the Retreats hosts or Hotel Manager immediately and we will endeavour to take whatever action is required. Please bear in mind that any claims may be rejected if we are not given the opportunity to put matters right during your stay. You are also welcome to email the Retreats team during your stay if you do not feel comfortable addressing any matters at the Retreat (info@wildsoulretreat.co.uk)

Exclusions

All information provided on the website and any written and verbal form of correspondence is correct at the time of publication. However, due to mechanical faults, weather conditions, or what insurers call ‘Acts of God’, some amenities may be temporarily unavailable. Very occasionally, we may have to vary the advertised programme due to staff sickness or other unforeseen problems, in which case we will always try to provide an equivalent replacement. However, this may not always be possible. For example, if our Yoga Instructor becomes unwell on day 3 of the retreat, it is likely that it will be too short notice to find another and Yoga may well be cancelled. This is extremely rare, but could happen. The same applies to any of the activities. Please note some sessions are planned outside, if in the event of adverse weather some sessions may be moved inside.

Clearly we will always do our best to make sure all activities go ahead as planned. We would also like to point out that the Wild Soul Retreat team can change at any time and although we will always endeavour to have a suitable replacement there will be no compensation for a change in therapist.

Team Members and Classes:

In the event of one of the team members/therapists becoming injured, ill or any emergency situation that forces them to leave the retreat, then this may impact on the Retreat plan.  For Colonic, Acupuncture and Lymphatic treatments we would only ever use fully qualified therapists know to the Wild Soul Retreat.  In terms of the yoga, meditation & fermentation classes, we will endeavour to adapt to the situation and reduce the impact this may have on your retreat experience, however we may not be able to get a substitute team member . The retreat will continue to run however things will be adjusted to reflect the team situation. There will be no refunds or compensation to reflect the change in team situation.

Wild Soul Retreat will not accept liability for:

  • Any of the above events, or others beyond our control.
  • Loss, injury, or damage (to you) or your personal property.
  • Physical, medical or psychiatric conditions developing during or after your retreat.

Smoking Restrictions

Although a wellness retreat, If you wish to smoke (including e-cigarettes and vaping) there is a designated smoking space in the courtyard, outside.  Please be respectful/vigilant if smoking throughout the grounds, as the retreat is set in a forest and cigarette butts can cause devastating fires or harm the wildlife.  Anyone found smoking/vaping in the retreat or the grounds in non-designated areas may be asked to leave the retreat and no refund shall be given.

Alcohol and Recreational Drug Restrictions

Any guests found intoxicated or under the influence of alcohol or recreational drugs during any therapy intervention will be asked to leave the retreat immediately and no refund shall be given for the remainder of your stay.

Abusive Behaviour

If you are abusive or threatening verbally or physically at any time during your retreat stay, you will be asked to leave the retreat with immediate effect. You will not receive a refund for the remaining of your retreat stay and you will need to arrange and pay for your onward travel and alternative accommodation.

Selling and Soliciting:

Whilst at the retreat, guests are prohibited from selling or soliciting products or services. We want our lovely guests to enjoy a peaceful break and we do not want them put in a compromised position or disturbed during their time on retreat.

Assumption of Risk

By agreeing to these terms and conditions, I/we state that I/we wish to participate in the juice & Colonic cleanse and all the activities, which could include but are not limited to: aerobic & resistance exercise, yoga, Pilates, running, walks, indoor cycling, sauna, swimming (pool and river) and therapy treatments such as clinical massage, acupuncture and colonic hydrotherapy. I/we realise that my/our participation involves the risk of injury and even the possibility of death. Furthermore, I/we confirm that I/we are voluntarily engaging in an acceptable level of exercise and Wild Soul Retreat are not responsible for any injuries or losses incurred whilst at the retreat, after the retreat or during the transfer.

If I/we suffer with any health conditions including but not limited to the following, I/we confirm that I/we have either consulted with a doctor before participating in physical activity/a juice detox/receiving treatment or I/we am accepting full responsibility for my/our own health and I/we acknowledge the risk involved.

Bone or joint or back problem/pain; high or low blood pressure; surgery or recent injury; Diabetes or any other metabolic disease; raised cholesterol; heart condition; cancer; pain in your chest when you do physical exercise; unusual shortness of breath at rest or with mild exertion; pregnant; spells of severe dizziness or have lost consciousness; Epilepsy; angina.
